Please read our Terms and Conditions fully before placing your order.

Your order

All orders are dealt with in strict rotation. If you wish to pay by Personal Cheque or Postal Order please email us first so that we can email further details. For security purposes we do not accept cash through the post. It is your responsibility to provide an accurate delivery address and contact details with your order in case we need to contact you. If unfortunately we are awaiting new stock and we cannot complete your order you will be informed as soon as possible so that corrections can be made. If you have any further questions please contact us via email through our Contact page.

Payments

We accept payment via the following methods:

We accept most major credit/debit cards including Visa, Mastercard, Delta, Switch, Solo and American Express. Transactions are processed securely online through our preferred payment processors,  PayPal, Nochex,Stripe and Sage pay. All card payments are processed immediately your order is placed. VAT is not shown on our pricing and therefore we do not include this in our pricing structure. All none UK or International order maybe subject to local import tax. N E Geocaching Supplies have no control over these charges and cannot be held responsible for payment of these charges. We also accept Personal Cheques/Postal Orders made out in British Sterling and drawn on UK banks or the Post Office. All Credit Card and Debit Card transactions are conducted securely through our Merchant providers. We do not keep any record of your card details. As from June 2024 we will ONLY be accepting payments on credit and debit cards from issuers that can be verified via a 3D secure terminal. You will therefore be unable to pay for your order where you Card issuer has NOT signed up to the “3D secure scheme”. We apologise or any inconvenience this may cause.

Payments by Personal Cheque:

We are happy to accept payments by UK Personal cheque ONLY. Please make all crossed cheques payable to NE Geocaching Supplies. Cheques should be dispatched to the address shown on your order, in the meantime your order will be processed and marked. "Awaiting customer payment". If your cheque does not arrive within 5 working days your items will be returned to stock. Once we receive your cheque it will be deposited within 3 working days of arrival. Your items WILL ONLY BE DISPATCHED once your cheque has cleared. (Please allow 5 working days for your cheque to clear).

Payment by UK Postal Order.

We are happy to accept payments by UK Postal order ONLY. Please make all Postal Orders payable to NE Geocaching Supplies. Postal Orders should be dispatched to the address shown on your order in the meantime your order will be processed and marked. "Awaiting customer payment". If your Postal Order does not arrive within 5 working days your items will be returned to stock. Once we receive your Postal Order it will be deposited within 3 working days of arrival. Your items WILL ONLY BE DISPATCHED once your Postal order has cleared.

Purchases when you are a resident outside of the UK

Please bear in mind that if you are resident outside the UK you may be required to pay additional taxes imposed by your country of residence. Further details can be found HERE
NE Geocaching Supplies are not responsible for these additional charges. You may refuse the charges but your delivery is liable to be returned to us and you maybe be charge an additional fee if you still would like to receive your goods.

Monthly Subscriptions

By purchasing a Monthly Subscription at NE Geocaching Supplies you agree to an initial and recurring Monthly Subscription fee at the then current Monthly Subscription rate, and you accept responsibility for all recurring charges until you cancel your subscription. You may cancel your Monthly Subscription at any time, subject to the terms of our cancellation policy (shown below). This charge can be seen on your bank or credit card statement.

We may operate a monthly subscription waiting list at certain times in order to maintain the quality of our service.

Subscrption boxes are dispatched on the following conditions:
Payment received - 1st of the month - 30th month = you will receive that month's Subscription box
Payment received - 1st of the following month - 31st of the following month = you will receive the following month's Subscription box

Currently this service is only available to those resident in the United Kingdom. We anticipate expanding this service into Europe after a successful launch in the United Kingdom.
Currently this service is only available on our nominated merchant provider -
Stripe as a Monthly subscription service.

Suspension of your Subscription

You may suspend your subscription at any time for up to 3 months once in any ONE year (1st Jan to 31st Dec inclusive). Any request for suspension must be made after you are billed for the then-current month by informing us in writing or by email at least 5 days prior to us dispatching your next subscription box.  
You will receive a confirmation of Suspension by return.

You may suspend your subscription on a temporary basis. A request to suspend your subscription must be receieved. informing us in writing or by email at least 5 days prior to us dispatching your next subscription box. You will receive a confirmation of cancellation by return.

Cancellation of your Subscription

You may cancel your subscription at any time after you are billed for the then-current month by informing us in writing or by email at least 5 days prior to us dispatching your next subscription box. You will receive a confirmation of cancellation by return.

In the unlikely event that your card is declined you authorise us to charge any other payment method in your account. If you have not provided us a backup payment method(s) and you fail to provide payment, or if all payment methods in your account fail, your monthly Subscription box will not be dispatched, and we may suspend your subscription.

You may not return any subscription box you receive. If you have concerns about your subscription box you have received or any of the products in it, please email NE Geocaching Supplies using this link: enquiries@negeocachingsupplies.co.uk We will work with you to address your concerns.

Your status

By entering into our Subscription Service, you are deemed to be

1. You are legally capable of entering into binding contracts

2. You are at least 18 years old

3. You are resident in one of the Serviced Countries

4.  You are accessing our site from that country.

Using your discount code

In order to apply your on-line discount code or coupon code you must visit Step 1 of our Checkout process. This can be access via the View Cart option or the shopping cart option in the header. We are sorry but once payment has been confirmed we are unable to offer any further discounts. For security reason please do not cut and paste your discount code.

Please note that some of our coupons require you to log into the web site in order for them to work correctly. If you find your code hasn't been applied correctly please log in then re-apply your discount code. Please contact us if you have any issues using a Discount code we are always happy to help. NE Geocaching Supplies hold a record of all Discount codes on our system and issues are easily resolved. Please don't panic!

Please note: Whilst we are running special projects or projects - site wide discount may well be turned off. If you wish to purchase using a discount code please us directly and we can arrange an alternative alternative route.

Using your Gift voucher code

In order to apply your on-line Gift voucher you must visit Step 1 of our Checkout process. This can be access via the View Cart option or the shopping cart option in the header. We are sorry but once payment has been confirmed we will be unable to process your gift voucher unless you complete another order. Please contact us if you have any issues using a pre paid voucher code we are always happy to help. NE Geocaching Supplies hold a record of all Pre paid vouchers on our system and issues are easily resolved. Please don't panic!

Using your Birthday code

Birthday discount vouchers are only valid if you subscribed to our Birthday discount service. Code are issued automatically via email and are valid only for 7 days from the date of your Birthday (including your birthday). This date cannot be extended. Discount is limited to 10% unless otherwise stated and all purchases must exceed £1 sterling. You must have an account with NE Geocaching Supplies and be logged into your account to use your voucher. For security reason please do not cut and paste your discount code.

Other Terms & Conditions

Travel Twins

When you place your order please email the tracking number/s you wish to have "printed" along with your order. We will then custom print your number onto your Travel Twin. Please allow a few extra shipping days for us to complete our  service. Remember each tracking number should be six (6) or seven (7) digits long. Don't forget the icon that will appear on geocaching.com is the original icon associated with the Trackable you are replacing.

It is important you supply the correct tracking numbers you wish to have engraved on your Travel Twins as mistakes CANNOT be rectified once the Tags are complete. Please double check the tracking numbers you send to us.

If you order a Travel twin with any additional items your order will not be dispatched until your Travel Twin has been completed.

Please Note: Travel Twins once engraved are not returnable, however if we supply the incorrect goods due to an error on our part, or the goods are faulty we will refund you in full, including the cost of the returned postage. A request to return the faulty goods will be made by us and where an item is deemed to be faulty a full refund will be given.

This does not affect your statutory rights as a consumer.

Free Gifts with your order.

We have a selection of free gifts available that we will include with your order when your basket total reaches a pre-determined level (postage and packing costs are not included in this pre-determined level). Your free gifts are subject to availability. When the advertised gift are not available they will be substituted with something of equal value when available.

Exclusive Groundspeak Retailers Xmas gifts are included in all orders that reach a level determined at the time of advertising (postage and packing costs are not included in this pre-determined level). Groundspeak free gifts are subject to availability. In order for as many customers as possible to have access to these limted edition items, we may limit these gifts to a maximum of 3 items when your purchase total over £60.

From time to time we will have both Geocaching and munzee discount sales and sales of exclusive Geocoins. Free gifts will be except from these orders. We will endeavour to reduce the cost of these "for sale" items further to reflect this with either a financial saving on the item itself or as a saving on the postal costs.

Where the value of your Geocaching or munzee order exceeds £40 we reserve the right to upgraded your postage to a Signed for Postal delivery and or further insurance in lieu of your free gift.

Affiliates accounts

Standard commission is paid at an initial rate of 5.0% on every sale made through your account.

An increase in this rate is dependent on sales made in conjunction with your account.

Commission will be paid to your nominated account once you commission reaches £25.00 (sterling) and above.

In order to earn commission you must use the tracking code associated with your account. Commission will not be paid at any other time.

As demand is high for our Affiliate accounts and we have limited spaces, if no sales are made on your affiliate account with an initial 12 month period we reserve the right to suspend or disable your account.

NE Geocaching Supplies reserve the right to suspend your Affiliate account if the above conditions are not being met or if your Affiliate links are being used in manner which we consider be racist, defamatory or which we feel cast doubt on the integrity of either ourselves, Groundspeak, munzee or any other commercial company.

Design your own Trackable Tag, Geocoin or Personal munzee (events & personal use)

Design Considerations (Groundspeak items):

Current from January 2019

The final design of each geocoin must be approved by Groundspeak prior to production. Designs must be family-friendly and may not include modified versions of the Geocaching.com logo. You will be notified if your design is refused. We will not accept designs of an offensive, racist or defamatory nature. Unfortunately we are unable to accept any TB Tag designs at the request of Groundspeak.

NE Geocaching cannot accept responsibility if your design is not approved by Groundspeak.

Use of the Geocaching.com logo is not required. However, if you wish to use the Geocaching.com logo, the ® trademark symbol must appear as part of the logo. Feel free to use the logo on Trackables with no additional charge/licensing fee.

All Trackables must bear the text "Trackable on Geocaching.com" or "Track on Geocaching.com." (changed from track at and trackable at)

NE Geocaching Supplies reserves the right to refuse a design if the quality of the image supplied is not clear enough to be engraved. (you will be asked to clarify or improve the image if this is the case). Don't worry if you’re not an artist, we're here to help!

The rear of the Tag cannot be modified. All design submissions must be the property of the owner or used with the owner's permission. NE Geocaching Supplies except no responsibility for infringement of copyright where permission has not been sort for the owner of the artwork/photograph. Purchasers have the right to re-sell the purchased Tags. Prior to production you must return and sign an artwork authorisation from. Items will not be dispatched until full payment has been received. Postage is calculated on the total weight of the final dispatched item and will be stipulated on your invoice.

Each Tag comes with a randomly chosen NE Prefix code, a randomly chosen activation code and a Angel Custom Icon.

Please note: Grounspeak design approval can take up to 72 hours. An appplication for Groundspeak approval can only be made once the Tag design has been approved by the customer.

Duplicate purchases munzee POB's

Munzee POB's are limited to ONE per playing account. As stipulated on the product pages if you purchase more than ONE of these item we will NOT be able to offer a refund. Any overpayments we do offer (in exceptional circumstances only) will be automatically refund minus an admin fee of 20% plus 30p.

Geocoin Purchasing

As well as selling and producing Geocoins NE Geocaching Supplies also trade Geocoins. If you have a collection hidden away in a draw or cupboard collecting dust we would be very interested in purchasing your collection. If you are interested in selling either single coins or your collection please contact us. Please note all Geocoins should preferably be uncirculated and unregistered on Geocaching.com but we also consider circulated and registered coins.

Cancellations Policy & Returns

You can cancel or return your order from the date of your initial order (start of contract) and up to 14 working days after you have received your goods. The 14 days starts from the day after you receive the goods (know generally as a cooling off period). Upon cancellation and the return of the goods we will return your money within 30 days of the cancellation, less the original postal costs incurred (if your order has already despatched), any packaging fees if your order has already been packaged for shipping, any other commission paid to our Merchant providers and a 10% restocking fee. Please note you must bear all costs of returning the goods to us (if you have already received the goods) and retain actual proof of posting. We do not supply a free return postage label. All return/s must be made via recorded service, and full cover must be purchased for the enclosed goods. Requests for cancellation must be received via email or the Postal Service, cancellations will not be accepted over the telephone. In the event of cancellation, it is your responsibility to provide accurate information in the form of your full name and address email. We cannot be held responsible if the information you send is incorrect. We abide by The Consumer Contracts Regulations 2013 on return requests.

If you are returning goods please go to our return page and complete the form - once you have completed the return you can send your return/s immediately. Please include your name and address with your return item/s so that we can match your return to your returns number.

Please note: As a small business with a very low number of returns we do not offer a free prepaid postage label.

If you wish to cancel a Pre-Order item please contact us. Cancellation of a Pre-Order is at the discretion of NE Geocaching Supplies. All Pre-Order cancellation will incur a 20% restocking fee of the total amount paid. Custom orders are NOT returnable.

This doesn't not affect your statutaory rights.

If we have to cancel your order

If we have to cancel your order because of mistake on our part (ie a price glitch or similar) we will refund your order in full prior to dispatch and your order will not be dispatched. You will be informed of you cancellation via email. Unfortunately, if an error has been made by the customer when placing an order we will do our best to rectify the situation, but this cannot be guaranteed. If when placing an order any ages related or "pick up only" question or where information has been clearly displayed (ie red bold script) have been answered incorrectly then we reserve the right to cancel your order prior to dispatch and offer a refund minus any merchant fees incurred by NE Geocaching Supplies.

This doesn't not affect your statutaory rights.

Pre orders

Some of our stock is shown as pre order. This means that although we have placed an order with our supplier our stock has yet to arrive. We endeavour to keep the lead time on pre order items to a maximum of two weeks but sometime this isn’t possible where events are out of our control. If you order an item for pre order we will endeavour to deliver it as quickly as possible. You will be informed when your item has been dispatched from our stock.

Sales

In order to qualify for a sales discount you must enter a discount code during Step 1 of the sales process. We are sorry but we will be unable to accept discounts applied after you have placed your order. If you are having difficulty placing your order please contact us immediately. Where we offer free UK postage you are required to pay for your postage on ordering and we will REFUND your postage cost once your order has been confirmed and accepted. Refunds will be issued through our secure payment provider Paypal and returned into your payment account with 2 days of your payment.

 What happens if your item goes missing

In the unhappy event your items do not arrive please contact us immediately and we will endeavour to resolve any issue.

Please note as from June 2024 the maximum compensation payable on all items sent by STANDARD 1st and 2nd Class is £20. This also includes INTERNATIONAL POSTAGE / AIRMAIL.

If your order value exceeds this £20 limit, and for your own peace of mind we would suggest that you select our TRACKED 24 or TRACKED 48 or SECURED DELIVERY (UK deliveries only) where the maximum compensation is £150 or INTERNATIONAL SIGNED & TRACKED where the maximum compensation is £50 unless enhanced compensation has been purchased where a maximum of £250 is payable. It your order value exceeds this £50 limit, and for your own peace of mind we would suggest that you select our COURIER (FULL COMPENSATION AVALIABLE) or SPECIAL DELIVERY GUARANTEED BY 1PM (UK deliveries only) where the maximum compensation is £750.

NE Geocaching Supplies holds a record of all item dispatched from our premises and by ordering from us you accept that we will dispatch your order by the method of YOUR choosing.

You should be aware that we are unable to process "an assumed lost in the mail order" until the following time intervals have elapsed

UK & Northern Ireland: 10 working days from the estimated delivery day.
Europe: 20 working days from the estimated delivery day.
Rest of the World: 25 Working days from the estimated delivery day.

If you request a "Safe location" for your delivery to be left that is not via your normal method of delivery then you accept that NE Geocaching Supplies are not responsible for any loss.
If your delivery is returned to us as a result of an incorrect address, we will refund the returned products (minus payment commission paid to our merchant providers at 5%) if they can be returned to stock, we will  be UNABLE to refund your postage or Courier charges.


NE Geocaching Supplies cannot and will not be held responsible if you order the incorrect postage format for the value of your parcel. Any refund we make will fall in line with the current UK Post Office compensation limits. Please bear in mind that this might be below the value of your delivery.

We prefer to dispatch by a Fully Tracked and Signed service please bear this in mind when you purchase.

All items dispatched by Courier are insured to the value of your net order value.

If we are sending your goods to an unconfirmed address deliveries are made at your own risk and any loss it at the risk of the purchaser. No compensation will be offered.

International deliveries

As stated on our product pages and in order not to cause issues with transporting batteries we do not include any type of batteries with international deliveries. If you place an order for a battery powered cache we will include a FOC gift in lieu of the batteries.

Information on apparel orders when ordered with other items

In order to give our customers, the best value for money we only process garment orders once an order for apparel has been placed. Our standard Garment orders can take up to 7-10 days to process. If at the same time you place an order for any other Geocaching or munzee items we will hold these items until your apparel order has been completed.

If you would like your Geocaching or munzee items to be dispatch prior to the completion of your apparel please contact us and let us know as a small extra charge might be payable prior to dispatch of your additional items.

Apparel orders - delivery dates

We unfortunately will not be able to guarantee a dispatched date unless this is agreed prior to any garment purchase. If you require delivery prior to specified date (ie Birthday, Anniversaries, Christmas or similar celebrations) please contact us and we will do our utmost to honour our delivery commitment but this is not guaranteed.

Legal indemnity:

Geocaching and other location-based activities including munzee or other location-based activities, where you may risk property damage, bodily injury or death can be dangerous and may take you to difficult to access or potentially treacherous locations. You MUST always exercise common sense and caution and consider other factors when engaging in location-based activities. These include but are not limited to; fitness level, ability and terrain and weather. Always be prepared and check the current conditions before heading outdoors.

By purchasing from us and / or hiding any of our Geocaching or Munzee products and therefore agreeing to our Term & Conditions you assume all risks associated with hiding, seeking or use of the product we supply. You also agree to release NE Geocaching Supplies, partners or employees of NE Geocaching Supplies from any legal or personal responsibility thereof.
